1. What We Collect
When you use Proudfrog, we collect the following information:
- Email address — used for account authentication and to deliver transcription results.
- Audio recordings — uploaded from the Proudfrog iOS app or macOS desktop app for transcription processing. Recordings are stored locally on your device until you choose to upload them.
- Transcripts and metadata — generated from your recordings, including speaker labels, timestamps, and AI-generated summaries.
- Speaker voice samples — short audio clips you record or extract for speaker identification. These are uploaded alongside recordings to improve speaker matching accuracy.
2. iOS App — On-Device Data
The Capture by Proudfrog iOS app accesses the following on your device:
- Microphone — to record meetings. Audio is saved locally and only uploaded when you explicitly choose to send it for transcription.
- Local storage — recordings, speaker reference clips, and app preferences are stored on-device. The app checks available disk space to prevent recording failures.
- Notifications — optional alerts when your recording is paused due to an interruption (e.g. phone call).
The app does not access your contacts, photos, location, or any other device data. It does not contain any tracking or advertising SDKs.
3. macOS Desktop App — On-Device Data
The Proudfrog macOS desktop app accesses the following on your device:
- Microphone — to record your voice during meetings. Audio is saved locally and only uploaded when you explicitly choose to send it for transcription.
- Screen Recording — used solely to capture system audio (e.g. the other participants in a video call). Proudfrog does not capture any video or screen content — only the audio output from your system. macOS requires the Screen Recording permission for any app that accesses system audio.
- Local storage — recordings, context notes, file attachments, and app preferences are stored on-device. Audio files are deleted automatically after successful upload and processing.
The app does not capture screenshots, video, or any visual content from your screen. It does not access your files, contacts, calendar, or any other device data beyond what is listed above. It does not contain any tracking or advertising SDKs.
4. How We Use Your Data
- To transcribe your audio recordings using third-party speech-to-text services with speaker identification.
- To generate meeting notes, key terms, summaries, and action items using third-party AI language models.
- To send you transcription results via email.
- To provide the web dashboard for reviewing and editing transcripts.
- To improve transcription accuracy through speaker voice matching.
Your audio recordings and transcript text are sent to the third-party services listed in Section 5 for processing. The app requests your explicit consent before any data is shared with these services.
5. Third-Party Services
We use specialized third-party services for different tasks to optimize accuracy and quality. The specific providers may change over time as we evaluate the best available services. All third-party providers are required to provide the same or equivalent level of protection for your personal data as described in this policy.
Speech-to-text transcription
Audio recordings are sent to third-party speech-to-text services for transcription and speaker identification. Current providers include:
- AssemblyAI — See their privacy policy.
- OpenAI — See their privacy policy.
AI language models
Transcript text is sent to third-party AI language models for features including summaries, key term extraction, meeting notes, and conversational search. Current providers include:
- Anthropic (Claude) — See their privacy policy.
- OpenAI — See their privacy policy.
- xAI (Grok) — See their privacy policy.
Infrastructure & other services
- Google Cloud Platform — for audio file storage (Google Cloud Storage) and API hosting (Cloud Run).
- Supabase — for user authentication and database storage (PostgreSQL).
- Resend — for delivering transcription results via email.
- Sentry — for crash reporting and error monitoring in our mobile and desktop apps. No audio or transcript content is sent to Sentry.
- Vercel — for hosting the web dashboard and landing page.
6. Data Storage
Your data is stored on servers in the European Union (Google Cloud europe-north1 region and Supabase EU infrastructure). Audio files are stored temporarily during processing and may be retained for playback in the web dashboard.
7. Data Retention
Transcripts and associated data are retained for as long as your account is active. You can delete individual transcripts from the web dashboard at any time. Audio recordings on your device are managed locally and are not automatically synced or deleted by us.
If you delete your account, all associated transcripts, speaker data, and stored audio files will be permanently removed within 30 days.
8. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request deletion of your data.
- Export your transcripts.
- Withdraw consent at any time by deleting your account.
9. Children's Privacy
Proudfrog is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us at privacy@proudfrog.com and we will delete it promptly.
10. Security
All data is transmitted over HTTPS. Authentication is handled via Supabase with JWT tokens. We do not store passwords directly — authentication is managed by Supabase Auth.
